Thank you for hiring our rooms at the times and rates agreed with our warden.
The following terms apply to your hire.
Insurance: The Meeting House has Public Liability Insurance covering the reasonable use of its premises and equipment. We cannot accept responsibility for any activities carried out by hirers. Hirers are therefore asked to ensure that their own Public Liability Insurance is arranged to cover against any claim made against them in respect of any activity that they are responsible for, any equipment they bring on to the premises or any damage caused to the premises.
Safeguarding: The Hirer shall ensure that activities for children, young people and vulnerable adults comply with current child protection and vulnerable adult safeguarding requirements and legislation. It is the responsibility of the Hirer to ensure that all necessary Child Protection checks have been undertaken before the Hire Period commences. NQM cannot accept any responsibility for the Hirer’s failure to comply with this requirement.
Parking: Cars must be parked in the nearby public car parks, not in the Meeting House driveway. The Meeting House
driveway can be used for dropping off and picking up for hirers with mobility problems and equipment.
Please ensure that all group members or clients are aware that cars may not be parked in the driveway.
Fire Procedure: On first entering the building, the named hirer should familiarise themselves with the fire procedure and escape routes. These are displayed in each room by the exits. In the event of fire, the hirer will be held responsible for the
safe evacuation of their party and the summoning of the fire brigade. In the event of the named hirer not being present for the duration of the hiring, the name of the person taking responsibility for the party should be given to the warden in
advance of the hiring.

in each room.

Cancellations:
Hirers may cancel their bookings up to 24hrs before the event. Hirers are welcome to ask to cancel at shorter notice and we will consider this at our discretion.
Occasionally we need to cancel confirmed bookings in order to hold funerals. The hirer will be notified of the cancellation as soon as reasonably possible. There may be occasions such as Heritage Open Day, the Nailsworth Festival, Marriages etc that may limit the use of the space. In these cases the hirer will be given as much notice as reasonably possible.
Other
• Hirers must not do anything which might imply that their meeting or activity is connected with, or endorsed by, the Society of Friends. Friends hiring rooms for activities not connected with the Society should also bear this in mind.
• Please report any damage to the Warden.
• Please leave the rooms tidy and replace furniture if you have moved it.
• You agree that we retain your personal information in accordance with GDPR for the purpose of this agreement. You may ask us at any time what data we hold about you and request for personal information to be deleted.
• Smoking, the consumption of alcohol and the use of candles and open flames are not permitted on the premises and grounds.
• We reserve the right to refuse future bookings without giving reasons.
